RoomZoom (“RoomZoom”, “we”) is a web application at app.roomzoom.ai, provided by RoomZoom Ltd, that cleaning and property-services companies (“our customers”) use to run turnover cleans and maintenance jobs for their own clients.
Who is responsible for your data
If you use RoomZoom as a manager, cleaner, maintenance person or client of one of our customers, that company decides what information is held about you and why — it is the data controller. RoomZoom Ltd stores and processes that information on its behalf as a data processor, under a contract with that company. Questions about your data should go to the company that gave you your login first.
RoomZoom Ltd is the controller only for the account and billing details of our customers themselves.
What is stored
- Account details — email address, role and sign-in activity.
- Client and property information — contact details, property names and addresses, access notes, booking calendars and schedules.
- Work records — cleans and maintenance jobs, clock-in and clock-out times, time off, feedback and notes.
- Quality-check photos — where a customer uses quality checks, staff photograph the property (not people) at the end of a clean. Photos are stored privately and deleted after about 90 days unless kept for a complaint.
How it is used
- To schedule, assign and record cleaning and maintenance work.
- To send service emails you or your company have switched on (for example, “clean completed”).
- Where quality checks are enabled, photos are assessed by an AI model to help managers check standards. A person can always review and override the result.
- To keep the service secure, provide support and fix problems.
We do not sell personal data or use it for advertising.
Each company's data is kept separate
Every customer's data is isolated from every other customer's at the database level. RoomZoom support staff can access a customer's account only to provide support, and access is logged.
Service providers
We use trusted providers to run RoomZoom, under contracts that protect your data:
- Supabase — database, sign-in and file storage.
- Vercel — application hosting.
- Resend — sending service emails.
- Anthropic — AI assessment of quality-check photos (only where enabled).
- HubSpot — our customer records, for companies that sign up for a trial or subscription.
Some of these providers may process data outside the UK; where they do, appropriate safeguards are in place.
How long it is kept
Data is kept for as long as the company that controls it uses RoomZoom, and deleted within 90 days of their account closing unless the law requires otherwise. Quality-check photos are deleted after about 90 days.
Your rights
You can ask for access to, correction of, or deletion of your personal data, or object to its use. Please contact the company that gave you your login; we will help them respond. You can also contact us directly, and you have the right to complain to the Information Commissioner's Office (ico.org.uk).
