How to use AI to run your cleaning company
Where AI saves a cleaning company time and where it doesn't: checking cleans from photos, spotting damage, planning the day, writing to customers and staff, and the rules to keep. With how RoomZoom uses AI.

Running a cleaning company comes with a lot of work that isn't cleaning. You check work you didn't see. You chase photos. You plan routes and work out whether a job still pays. You write the same message to customers for the hundredth time. This is the work AI is good at helping with. It can't clean a bathroom or keep a team together, and it shouldn't make decisions about people.
This guide covers where AI saves a cleaning company time, where it doesn't, and the rules worth keeping. At the end it explains how RoomZoom uses AI, so you know what it does and what it doesn't.
What AI is good at, and what it isn't
| Good at | Not good at |
|---|---|
| Looking at a photo and listing what doesn't match a checklist | Knowing what a property looked like when no one took a photo |
| Reading a month of your own figures and pointing at the odd ones | Knowing your customers, your team and your local area the way you do |
| Drafting a first version of a message, policy or job advert | Being right about the law, prices or products without being checked |
| Doing the same check the same way, at 11pm, every time | Taking responsibility. That stays with you |
The rule that follows from this: let the AI do the first look, and keep the decision with a person. Every useful AI tool for a cleaning company works this way.
1. Checking cleans you didn't see
Most owners check quality by driving round, or by waiting for a complaint. Both are expensive. A photo check costs the cleaner two minutes at the end of a clean. AI can then compare each photo against your checklist and tell you what was missed, such as a creased duvet, a bottle left on the worktop or a bath mat not laid flat.
- Check at random, not every time. If any clean might be checked, every clean gets done as if it will be. It's also less of a chore for your team.
- Write the checklist the AI uses. “Bed made” is vague. “Duvet flat, pillows plumped, cushions in place, nothing on the floor” can be checked.
- Add notes for each property. “The grey mark on the bath is permanent” stops the same false alarm every week.
- Only open the low scores. The point is that you stop looking at the 90s and spend your time on the 50s.
- Use it for training, not blame. Share the feedback with the cleaner. Most missed items happen because no one told the cleaner what you expect.
Watch out for photos that have been taken before. A cleaner in a hurry can send last week's photo. Good software spots a reused photo, or one taken before the clean started, without needing AI to do it.
2. Spotting damage between cleans
For short lets, damage is where money goes missing. A guest chips a worktop, nobody notices for three stays, and by the time someone does, no one can say which guest did it. AI can compare this clean's photos with the last clean's photos and point out what has changed: a crack, a stain, a broken handle.
Treat what it finds as a lead, not proof. Lighting and angles change between photos. The AI's list tells you where to look, then a person checks the photos and decides whether to make a claim. Our guide to holiday let damage claims covers what a platform needs to see.
3. Planning the day and checking the numbers
You already have the figures that show which jobs lose money: how long each clean takes, what you charge for it and who travels where. Few owners have time to read them. AI can, and it can point out a few things worth a look:
- A cleaner who has twice as much work as anyone else today
- Two cleaners in the same postcode, where one swap would save a drive
- A property where you earn far less per hour than your average, so it's time to review the price
- A room type that keeps scoring low across all your cleaners, which usually means a training gap
- A road closure or event near tomorrow's jobs
The figures must come from your own records, not from the AI. Ask it to explain your numbers, not to make them up. If you price by the hour, our guide to pricing cleaning jobs shows what to do with what you find.
4. Writing to customers and staff
A general assistant like Claude or ChatGPT is quick at first drafts. Cleaning companies use them for:
- Replies to complaints that are calm and say what you'll do
- Welcome messages for new clients, and the “what to expect at your first clean” note
- Job adverts and interview questions
- A first draft of a policy, such as lone working or key holding, for you to change to suit how you work
- Social posts and the words for your website
Rules worth keeping
- A person decides. Scores, damage claims, pricing changes and anything about a member of staff. The AI can suggest. It doesn't decide.
- Keep personal details out of general chatbots. Don't paste a customer's name, address, key codes or a staff member's health into a free AI tool. Write “the customer” instead.
- Tell people. If photos are checked by AI, say so in your staff handbook and your privacy policy.
- Be fair to your team. An AI score is evidence for a conversation, not a verdict. Let cleaners see their feedback, and let a manager change a score that's wrong.
- Start with one problem. Pick the job that costs you the most evenings, such as checking quality, and use AI for that first.
How RoomZoom uses AI
RoomZoom uses AI in three places. In each one the AI does the first look and you decide. The AI never changes anything in your account.
Photo checks and damage spotting
You choose how often checks happen and which properties and cleaners they cover. At clock-out, a clean picked at random asks the cleaner for photos of each area. The AI scores each area out of 100 against your checklist and the property's notes. It lists what was done well and what was missed, and says what it couldn't see rather than marking it down. RoomZoom flags photos that have been used before or were taken before the clean started. You set the pass mark, you can change any score, and your score replaces the AI's. Clients never see scores or feedback. If you switch sharing on, they see the after photos.
At the same time, the AI compares the photos with the last clean's and lists any new damage. When it finds something, or a cleaner reports it, RoomZoom builds a damage pack for you. The pack has the before and after photos side by side, the stay timeline and the cleaner's report. You can send it to your client or download it as a PDF for a claim. From the pack, the AI can also suggest the parts and labour for a repair quote, with links to what it found at suppliers. You check each price and set your own labour rate before anything goes on the quote.
Dashboard insights
Every day the Insights tab works out today's workload for each cleaner, postcodes where more than one cleaner is working, your earnings per hour for each property against your average, and quality scores. RoomZoom calculates the figures. The AI writes a short summary of what's worth a look, and says so when there isn't enough data to tell. A separate check searches for road closures, events and weather near the next week's jobs. It only searches by postcode district and date, with no names or addresses, and names the website each result came from.
Help assistant
A Help button on every manager page answers “how do I…?” questions about RoomZoom from our help articles, with the steps to follow. It can't see your company's data. If the articles don't cover something, it tells you and points you to support. It's on every plan.
